A. Team Coach Main Menu

Clicking on the 3 gray lines in the upper left corner of EduGuide opens the Main Menu if you are not in the Core Learning Path (this would open the Path Menu reviewed above).



  • Path: Navigate to your personal Coaches’ Core Learning Path to continue working on the program.

  • Team Name: Open up features available for the team.

  • My Pages: Access your own Personal Dashboard.

  • My Settings: Change profile image, modify personal information, and adjust email notification settings.

  • Help & Feedback: Get assistance and support.

  • Sign Out: Log out of your personal EduGuide account.


Click on the Team Name to expand the available features in the Main Menu.



  • Metrics: Navigate to this space to review individual student progress and provide mentoring support.

  • Setup: Admin Coaches and Team Captains will have this additional feature in their menu to assist them in setting up, organizing, and managing the team. Lead Coaches and Support Coaches cannot access the Setup features unless their role is changed in the Setup feature by those c.

  • Groups: Navigate to the Group Management Page where you can create groups, assign Team Coaches to groups, and find student invitation codes to join.

  • Coaches: Review and manage Team Coaches who have joined the team. Assign groups, navigate to their personal page, and change roles if needed.

  • Members: A full list of all members on the team.

  • Board: Use the Team Board to communicate with coaches

  • Library: Collaborate with Team Coaches.


B. Student Main Menu

  • Students have restricted access on EduGuide. They cannot access all the features available to Team Coaches, most notably the Metrics Page and the Team Dashboard.

  • When they login to their student account, they will be taken directly to their personal Core Learning Path and the next activity available for them to work on online.

  • If a Team Coach has responded to one of their comments within the Core Learning Path, the student will have the opportunity to respond back to the Team Coaches’ comments before continuing their next activity.

  • Once students have finished, they will be notified that the Adventure is Complete, and then the system navigates them to their Personal Dashboard, accessible in their Main Menu by clicking My Pages.

  • The Help & Feedback or the Chat With Us features are also available for student use when they need assistance on the EduGuide platform.

Groups

A. Auto Groups

Admin Coaches and Team Captains can control the Auto Group Settings.

B. Group Creation

When creating groups, keep in mind students must have an initial invitation code in order to create an EduGuide account and join the team.

Once they are on the team, students can then be added to additional groups manually at later point in time for layered support.

If Auto Groups are OFF, then Team Coaches must go to Groups to create their groups to generate invitation codes.

Create groups by grade, class, or select students.

C. Assign Coaches

When creating groups, keep in mind students will have an initial invitation code to create an EduGuide account and join the team.

Later, students can be added to additional groups manually for layered support.

Group Management does not affect student work.

The Group Management function is to assist Team Coaches in managing their work.

Once groups are created, Team Coaches can be assigned or select to follow groups.
Then, Team Coaches can filter for groups on the Metrics Page for focused mentoring and they will receive daily and weekly updates about this group on the team.

D. Team Coach Email Notifications



Daily Email Notifications

Selected Team Coaches assigned to follow a group will also receive updates at the end of the day when students in their groups have done work on the Core Learning Path.


Weekly Email Notifications

Progress reports including the number of students working, number of steps taken, percentage of students working in the group and strong coaching are sent to Team 


Coaches assigned to follow groups.


Updates include work Team Coaches have done in the on the Coaches’ Core Learning Path and total mentoring comments made for responding to students.

Email notifications can be adjusted in the My Settings option in the Main Menu. Notifications are sent for: Team Join Events, Mentoring Interaction Responses and Reminders to work on the Coaches’ Core Learning Path. If the notifications are turned off, then Team Coaches must regularly return to the platform. 

3. Invite Students

A. Planning for Launch

Once those groups are ready, click on Invite Members to the left of the group name.

  • Invite students to join the team with the 7-digit code by going to: Join. EduGuide.org

or

  • Use the hyperlink, which will ensure students land on the join page with the appropriate 7-digit invitation code already completed, through a learning management tool or email.

The group must already be created to be able to assign a Team Coach to a group.

To the right of the Team Coach name, a number indicates how many groups they are already assigned to work with on the Core Learning Path.

The Team Coach Role is also indicated.

B. User’s Page

Click on the 3 gray dots to the far right of the Team Coach name to navigate to their Personal Dashboards for 1-to-1 communications or to Manage Memberships.

You cannot Edit Membership for other Team Coaches working on the team.

Members

A. Members’ Page

A list of students who are members on the team will appear.

To the left of the student’s profile image and name, you can click Assign Group to put them add them to select Team Coach mentoring groups.

To the right of the students’ names, a number indicates how many groups are assigned.

Click on the 3 gray dots to the far right of the students’ names to navigate to their Personal Dashboards for 1-to-1 communication or manage their membership.

Use the filter to navigate to the Coaches Page or Group Management Page.

B. Edit Membership

Click on Edit Membership for the following options:

  • Change member status on the team

  • Add and remove from groups

  • Change a student’s password

  • Change the number of activities available per day for students

Board

A. Team Dashboard

Click on the 3 gray lines in the upper left corner to access the Main Menu.

Click on Board to access the Team Dashboard. Students do not have access to this space.

It is a place for Team Coaches to communicate and collaborate with one another as they work on supporting students on the platform together.

If the team name, vision statement or profile image need to be changed, contact the EduGuide for assistance in changing those settings.

The blue navigational toolbar below the team name navigates to the Team Dashboard, the Team Goals, the Team Library and a shortcut to other features, such as the Members’ Page, Setup Page, and Groups Page) using the circular tool.

B. Team Metrics

To the far right of the Team Dashboard, there is a list of metrics cumulating the total number of Activity Comments Made, Activity Steps Taken, and Activities Completed on the team. This number includes Team Coach and student working the Core Learning Path. Click on any of these hyperlinks to be taken directly to the Metrics Page.

Goals

Navigate to the Team Goal Tool by clicking on Goals in the blue navigational toolbar.

The Team Goal feature is available for Team Coaches who would like to create goals for their students to work on in conjunction with their work on the Core Learning Path activities. Students will start to adopt goals in their activities on the Core Learning Path as they continue their progress in subsequent years.

Only Team Coaches can create and assign Team Goals. Students can only access the Team Goal from their Personal Page once a Team Coach has assigned the goal to them.

A. Default Goals

Before Students Get Started

Coordinate in the creation of Team Goals with your EduGuide Results Coach before students join the team.

The Results Coach can assist you in revisions and offer suggestions before assigning it as a default goal for the entire team or certain groups within the team.

Team Coaches can also create goals for themselves to track their work with students together and for professional development.

B. Targeted Objectives

Team Coaches guide students in the steps that need to be taken to complete a goal by breaking the larger goal down into steps for students to complete.

  • Capstone Steps: Consolidate a series of steps into one step, instead of listing every step involved. Focus on a culminating action: “Post a photo of … on the goal board.”

  • Micro Steps: Build momentum for a larger series of steps by focusing on something is easy to do and will start the ball rolling: “Send … for your ...”

  • Repeating Steps: Turn a series of repetitive actions into one step by making it repeat: “Post a monthly update on the goal board on a barrier you’re facing.”

  • Learning Steps: Consider including a step to encourages students to invest some time in learning how to be more successful on their goal.

  • Reporting Steps: As much as possible, try to reduce the reporting burden by keeping people focused on the core steps of the goal. But where necessary, you can add steps to post reports by a specific date or simply to post a note on the Personal Dashboard.

C. Student Reporting for Team Goal Progress

Wherever possible, look for ways for students to engage in the learning by posting something at the completion of each step. This not only provides a clearer measure of progress, it also helps students stay motivated as they share their own progress. 

As part of steps, you can ask members “On your Personal Dashboard, post a:

  • Question

  • Article

Debrief notes

  • Photo

  • Prototype

Team Coaches can review the Goal Tool and students’ Personal Dashboard to assess the progress students are making in accomplishing Team Goals outlined. 

Progress is tracked by reviewing which steps students have checked off as completed.

To create a Team Goal, click on New Goal.

This will open the Goal Information Page.

Step 1: Complete Goal Information

This first page is where the Goal title, notes, image, due dates and attachments are entered to outline the broader objectives. Next the goal is broken down into steps.

Step 2: Outline Goal Steps with Detailed Directions

This page is where the Goal step title, notes, image, due dates and attachments are entered to outline each action to be taken. The steps break the larger goal down.

Once the step is completed, click Done in the lower right corner.

Click Add a step, to continue listing stages of completing the goal.

Determine if you would like students to be able to edit due dates set for the goal, have the ability to remove or add steps to the goal as members on the team.

Set the goal to being in an Active or Draft Mode.

E. Goal Tools

Review Goal Steps

F. Revise Goals

Click on the Goal Title, and then the circular tool in the upper right corner of the screen above the goal to be able to Edit Goal For Team, Delete Goal For Team or duplicate the goal to have different groups of students tracked within different goals. Team Coaches can also Adopt Goals with students to receive reminders for work being done.

G. Assign Goals

If Team Goals are created after students have joined the team, then Team Coaches must manually assign students to the Team Goal. After clicking on the goal title and opening the circular tool, select Assign Goal to Members from the dropdown menu.myFileServer:EG Alternative Launch:EG O & T Images:Goal:10 goal.png

Add a message with instructions to communicate expectations for goal completion that will be sent to students who will be added to the Team Goal.

Use the search bar to locate a particular student, and then click Assign Goal button next to the student’s profile name and image, or click the button in the upper right corner to Add all team members to the goal. Once students are selected, click on the X in the upper right corner of the screen. Confirm students to be assigned to the Team Goal. Remove students using the X left of the image. Then, click the Assign Goal button in the lower right corner of the screen.

H. Track Goal Progress

Review student work on the Team Goals by clicking on the Goal Title.

A large progress bar will appear at the top of the screen to track the work happening on the Team Goal for everyone in the group.

Click on the number to left of the large progress bar to open up the list of individual students’ progress for the goal.

Encourage students as they make progress on the goal by using the Cheer button.

My Pages

A. Personal Dashboard

Everyone can access their Personal Page on EduGuide by clicking My Pages in the Main Menu. Everyone with an EduGuide account has a Personal Page on the platform. This includes Team Coaches and students with restricted access as Team Members. Team Coaches can navigate to one another’s Personal Dashboard Page. Team Coaches can also navigate to students’ Personal Dashboard Pages.

Students cannot access one another’s Personal Dashboard Page. They only have access to their own Personal Page. Students can use this space to communicate with their Team Coaches, for Reflective Writing or to Upload & Save Resources.

B. Vision Statement

Team Coaches and students can share a Vision Statement on their Personal Dashboard. To access this feature, hover the cursor below your name. When a pencil appears, click on it. Only Team Coaches and the student sharing the information can see it.


My Settings

A. Change Photo

All new users are prompted to upload a Profile Image upon joining and starting their individual Core Learning Path. All users can use this Main Menu option to change their profile photo at any time by clicking on My Settings.

B. Change Password

Everyone is required to create a password to use for accessing a personal EduGuide account. This password can be updated by clicking on My Settings in the Main Menu.

Team Coaches can also change Team Member passwords if students have forgotten theirs to assist learners in having access to their accounts.

To access the Password Assistant tool, click on the 3 gray dots to the far right of a student’s name and select Edit Membership on the Metrics or the Members Pages.

Team Coaches cannot access the Edit Membership Page for other Team Coaches.

C. Change Profile

Change your profile name and the email address being used to login to EduGuide.


D. My Email Notifications

Global Messages

These emails are sent to facilitate contact between Team Coaches supporting Team Members’ learning on the team:

  • Advisor Request

  • Cheer Received

  • Connection Request

  • Due Date Reminders for Team Coaches

Dashboard Messages

These emails are sent for 1-to-1 communications happening in the mentoring interactions in the Core Learning path with students. These emails alert Team Coaches when:

  • Posts and Comments On My Dashboard

  • Comments Or Posts I’ve Participated In

  • Posts And Comments On My Goal Dashboards

Team Emails

These messages are sent to keep users engaged in the goals and objectives associated with their role as a Team Coach or a Team Member who is learning on the platform. These alerts are connected to:

  • Posts And Comments On My Team Dashboards

  • ONLY Posts On My Team Dashboard (no comments)

  • Resources Added To Team Library

  • Team Join Events

  • Path Comments

  • Path Reminders

  • Daily Path Reports

E. Phone

Provide contact information and enable to receive SMS notifications from EduGuide for work being done in the team on the Core Learning Path. For more information, review Section 3 covering Coaching on EduGuide and Continuing Online Dialogue with students.


Help & Feedback

Online

Use online tools to assist you in getting questions answered, offering suggestions or encountering a technical problem. If you need help, use these support mechanisms:

Results Coaching

We assign an EduGuide Results Coach from our staff to monitor your progress and recommend strategies to grow your student impact. Schedule more support as needed.

  • Team Captain Planning Meeting (1 Hour): Captains should meet with their EduGuide Results Coach as soon as possible at the beginning of each year. It may be helpful if other leaders can attend too.

  • Coaching Session #1: EduGuide Mentoring Model (1/2 Hour): Choose another date about a month or so after you expect to start students to discuss how to improve impact and best practices for using the online mentoring platform with students.

  • Coaching Session #2: Engaging Learners on EduGuide (1/2 Hour): Explore blended learning options available within the platform and resources in the Team Library.

  • Coaching Session #3: EduGuide Planning & Review (1/2 Hour): Choose another date near the end of the year to debrief on results, lessons learned and future planning.

Sign Out

Stay Logged In

  • If you only close the window or the tab, you will remain logged in to EduGuide.

  • When returning to the homepage, users will see a white box with 3 white lines in the upper left corner. This is an indication that someone is logged in and allows access to the Main Menu of the account that is logged in for the browser.

  • Click on Sign Out to log out of each session on your EduGuide account.

Signing Out

  • The settings on the Metrics Page will remain as selected for Team Coaches.

  • Always remind students to Sign Out of their individual Core Learning Path, so their work stays personal and others cannot access what they are sharing in their activities.

  • To return to EduGuide, click on Login in the upper right corner of the homepage at EduGuide.org or go directly to the login screen by going to Login.EduGuide.org.

  • Use the same email and password registered when creating your account to log back in to your EduGuide account.
